For visitors who chat with an ArilX-powered assistant on a Website Operator’s site

1. Who we are and what this policy covers

ArilX LLC (“ArilX”, “we”, “us”) provides AI chat assistants that businesses (each, a “Website Operator”) add to their own websites and channels.

This AI Assistant Privacy Policy explains how the AI assistant processes the personal data of visitors (“you”) who interact with it. It does not cover the Website Operator’s own website, products, or other data practices — for those, please read the Website Operator’s own privacy policy.

2. Our role and the Website Operator’s role

The Website Operator decides why the AI assistant is offered and what happens with the information you share. The Website Operator is therefore the data controller.

ArilX provides and operates the technology and processes your data only on the Website Operator’s instructions, under a data processing agreement. ArilX is therefore a data processor. The legal basis for processing (for example, your consent or the Website Operator’s legitimate interest) is determined by the Website Operator.

3. What information is processed

• Information you provide before or during the chat: typically your name and phone number, your email address if you give it, and the content of the messages you send.

• A record that you accepted this notice before chatting, and the related timestamps.

• A session identifier used to keep your conversation connected.

• Approximate location (such as city or region), derived from your IP address, used mainly to set the chat language. We do not store your IP address in the chat database; it may appear in server logs for security.

• Basic technical information about your browser or device needed to deliver the chat.

4. How your messages are processed by AI

Responses are generated using Google’s Gemini API. Sent to Google: the text of your messages, the conversation history, and the knowledge and instructions the Website Operator configured for the assistant. Your direct identifiers — name, email, phone number, IP address — are not sent. The Gemini API runs under Google’s commercial (paid) terms, under which Google does not use this data to train its AI models.

5. Why your information is processed

• To answer your questions and provide the Website Operator’s information.

• To keep your conversation working and connected during your visit.

• Where the Website Operator has set this up, to pass your contact details and inquiry to the Website Operator so they can follow up with you.

• To keep the assistant secure and to prevent abuse.

6. What the AI assistant does NOT do

The AI assistant is built to respect your rights. It does not:

• infer special categories of data about you (such as health, religion, political views, ethnicity, or sexual orientation);

• perform biometric identification, emotion recognition, or social scoring;

• make decisions that produce legal or similarly significant effects about you on a solely automated basis — you can always ask to deal with a human.

7. How long information is kept

You can ask for your information to be deleted earlier — either through the Website Operator or by contacting ArilX at hello@arilx.io.

8. Information stored in your browser

To keep the chat working, a little information is stored in your browser on the Website Operator’s site: your conversation history, a session identifier, your last-activity time, and the contact details and consent you gave. It is functional (not used for advertising) and you can clear it anytime in your browser settings.

Some providers (in particular Google) may process data outside Georgia and the EEA, including in the United States. Such transfers are protected by appropriate safeguards, such as Standard Contractual Clauses (SCCs) and the providers’ Data Processing Addenda.

11. Your rights

You have the right to access, rectify, erase, restrict, or object to the processing of your personal data, and to data portability. Because the Website Operator is the controller, you can exercise these rights through the Website Operator. You may also contact ArilX at hello@arilx.io, and we will assist the Website Operator in handling your request. You can also lodge a complaint with the Personal Data Protection Service of Georgia (personaldata.ge) or your local data protection authority.

12. Children

The AI assistant is intended for users aged 16 and over. The Website Operator is responsible for deploying it appropriately for its audience.

13. Security

We apply appropriate technical and organisational measures, including encryption of data in transit and access controls, to protect the information processed through the assistant.

14. Changes to this policy

We may update this policy from time to time. The current version is the one made available with the AI assistant, with its effective date.

16. Pre-chat consent notice

Before the conversation starts, the visitor is shown a short notice with a link to this policy. Suggested wording (the Website Operator is “we / this website”, and ArilX is the “authorized technology partner”):

Short notice (for the chat window): By continuing, you agree that this website and its authorized technology partner process and store your messages and the information you provide, in line with the AI Assistant Privacy Policy.

Even shorter variant: By continuing, you agree that we and our authorized partner process and store your chat and the information you provide, in line with the Privacy Policy.
